Meaning, Features and Need for Coordination (ISC Class 12 Commerce)

Updated 18 October 2026 · Fact-checked

Coordination is the process by which a manager synchronises the activities of different departments and individuals to achieve unity of action towards common goals. It integrates group efforts, is continuous, all-pervasive, the responsibility of all managers and a deliberate function. It is needed because of growth in size, functional differentiation, specialisation, interdependence of departments and differences in individual goals.

Notice that the manager at the hub deliberately links every department so all efforts point the same way, towards one common goal.

Understand Meaning, Features and Need for Coordination

1. Meaning. Coordination is the process by which a manager synchronises the activities of different departments and individuals to achieve unity of action in the pursuit of common goals, at the right time and in the right quantity.

2. Features

  • Integrates group efforts: gives a common focus to individual efforts.
  • Ensures unity of action: everyone works towards the same purpose.
  • Continuous process: begins with planning and continues till controlling.
  • All-pervasive: needed in all departments and at all levels.
  • Responsibility of all managers: top, middle and lower managers all coordinate.
  • Deliberate function: managers consciously work to coordinate; it does not happen by itself.

3. Coordination and cooperation. Cooperation is voluntary willingness to help; coordination is the deliberate, managerial effort to synchronise. Even willing cooperation needs coordination to be effective, since willing people may still work at cross purposes.

4. Need for coordination

  • Growth in size: as the number of employees grows, it becomes harder to keep everyone working together.
  • Functional differentiation: departments (production, sales, finance) have their own goals and may pull in different directions (sales wants variety; production wants standardisation).
  • Specialisation: specialists tend to think their work is most important and may ignore others.
  • Interdependence of departments: the output of one is the input of another, so timing matters.
  • Differences in individual goals and working styles.

5. A timing illustration (imaginary). Sales promises delivery in 7 days; production needs 21 days. Gap = 21 - 7 = 14 days. If sales receives 120 orders a month, all 120 would be late by 14 days, with cost of lost goodwill; coordination at the planning stage (matching the promise to capacity) avoids this.

How to answer Meaning, Features and Need for Coordination questions

Questions ask for meaning, features, or which need for coordination a case shows.

  1. 1Find the conflict in the case: different goals, timing mismatch, narrow specialist view, or rising size.
  2. 2Match it to the need and name it in the chapter's words.
  3. 3Explain in one line how lack of coordination hurts the business.
  4. 4For features, give a point and a short reason.

Meaning, Features and Need for Coordination in real life

The idea, met in an everyday situation. Answer the question in your own words, then compare with the model answer. The one-line hook is what to remember.

Functional differentiation

Suppose the marketing team of a shoe company launches 30 colours to please customers, while the factory wants only 6 colours to keep costs low.

Which need for coordination does this show?

Try it first, then show the solutionSolution
  1. Departments have their own goals that pull in different directions.

Answer: Functional differentiation.

Memory hook: Departments differ, so link them.

Interdependence

Imagine a bakery's packing section waits idle because the baking section is late, while the delivery vans wait for packing.

Which need for coordination does this show?

Try it first, then show the solutionSolution
  1. The output of one section is the input of the next, so timing matters.

Answer: Interdependence of departments.

Memory hook: One's output is the next one's input.

Meaning, Features and Need for Coordination: solved examples

Ordered from board level to HOTS. Try each one before you open the solution.

Example 1: Identify the need · 1 mark · MCQBoard level

As a firm grows from 50 to 500 employees, it becomes harder to keep everyone working together. This shows the need for coordination arising from:
(a) specialisation
(b) growth in size
(c) interdependence
(d) individual goals

Try it first, then show the solutionSolution
  1. More employees make it harder to keep everyone aligned: growth in size.

Answer: (b)

Example 2: Features · 3 marks · Short answerBoard level

State any three features of coordination.

Try it first, then show the solutionSolution
  1. It integrates group efforts and ensures unity of action.
  2. It is a continuous process beginning with planning and continuing till controlling.
  3. It is all-pervasive and the responsibility of all managers.

Answer: Integrates efforts, continuous, all-pervasive.

Example 3: Delay from poor coordination · 4 marks · Short answerHarder board level

Sales promises delivery in 7 days but production needs 21 days. The company gets 120 orders a month, and each late order costs Rs 150 in compensation and lost goodwill. Calculate the delay, the monthly cost and the yearly cost, and state which need for coordination is shown.

Try it first, then show the solutionSolution
  1. Delay = 21 - 7 = 14 days.
  2. Monthly cost = 120 x 150 = Rs 18,000.
  3. Yearly cost = 18,000 x 12 = Rs 2,16,000.
  4. Need: functional differentiation and interdependence of departments.

Answer: 14 days; Rs 18,000 a month; Rs 2,16,000 a year.

Example 4: Cooperation versus coordination · 4 marks · Short answerHarder board level

Suppose all staff in a firm are friendly and willing to help, yet orders are repeatedly delayed because purchase, production and sales work at cross purposes. Explain why willingness alone is not enough and what is missing.

Try it first, then show the solutionSolution
  1. Cooperation is voluntary willingness to help; coordination is deliberate effort to synchronise activities.
  2. Willing people can still work at cross purposes without a common plan and timing.
  3. What is missing is coordination by managers: matching plans, fixing schedules and ensuring unity of action.
  4. Coordination is a deliberate function and does not happen by itself.

Answer: Coordination, a deliberate managerial function, is missing.

Example 5: Diagnose a company · 8 marks · Long answerHOTS / competency

Suppose a rapidly growing furniture maker has sales promising custom designs, production favouring standard models, a purchase team ordering wood in bulk when the factory is idle, and 400 new employees with no clear reporting. Identify at least four needs for coordination shown, and recommend actions.

Try it first, then show the solutionSolution
  1. Growth in size: 400 new employees make alignment harder; clear reporting lines are needed.
  2. Functional differentiation: sales and production pull different ways; set shared goals and joint planning meetings.
  3. Specialisation: each specialist group focuses on its own work; give a common objective and cross-department briefings.
  4. Interdependence: purchase, production and sales depend on one another's timing; make a combined schedule.
  5. Differences in goals: reconcile through common targets.
  6. Recommendations should come from managers at all levels because coordination is everyone's responsibility, continuous and deliberate.

Answer: Growth, differentiation, specialisation and interdependence, with joint planning and clear reporting.

Where students lose marks in Meaning, Features and Need for Coordination

The slips examiners see most often, and what to write instead.

  • Mistake: Confusing coordination and cooperation

Cooperation is voluntary; coordination is deliberate.

    Wrong working

Coordination means willingness to help each other.

    Right working

Coordination is the deliberate synchronising of activities; cooperation is voluntary willingness to help.

    Do this: Deliberate versus voluntary.

    Usually costs: 1-2 marks.

  • Mistake: Listing needs without linking to the case

Case answers should quote the fact.

    Wrong working

    Need: specialisation.

    Right working

Need: functional differentiation, shown by sales promising 7 days while production needs 21.

    Do this: Quote the evidence.

    Usually costs: 1 mark.

  • Mistake: Calling coordination a one-time activity

    It is continuous.

    Wrong working

Coordination is done at the start of a project.

    Right working

It is continuous, from planning to controlling.

    Do this: Write continuous.

    Usually costs: 1 mark.

Exam tips

  • Use the word synchronise and the phrase unity of action in your definition.
  • Learn the five needs with one case clue each.
  • Mention that coordination is a deliberate function.
  • Do not treat coordination as separate from the functions.

Practice questions on Meaning, Features and Need for Coordination

Write each answer on paper first. Open the hint only if you are stuck, and the answer only when you have finished.

  1. Q1 · 1 mark · Very short answerBoard level

Is coordination a separate function of management?

    Hint

    Binds all functions.

    Answer

No, it runs through all the functions as the force that binds them.

  2. Q2 · 2 marks · Short answerBoard level

State any two reasons why coordination is needed.

    Hint

    Size and differences.

    Answer

Growth in size and functional differentiation (also specialisation, interdependence, differences in individual goals).

  3. Q3 · 2 marks · Short answerHarder board level

Why is coordination called a deliberate function?

    Hint

    It does not happen automatically.

    Answer

It does not happen on its own: managers must consciously and continuously synchronise activities, since even willing cooperation can work at cross purposes.

  4. Q4 · 4 marks · Short answerHarder board level

A factory with three departments loses 4 hours a day in waiting because the output of one is not ready for the next. If 250 working days are lost this way at Rs 2,000 per hour, calculate the yearly loss and name the need for coordination shown.

    Hint

    Hours times rate times days.

    Answer

    Loss per day = 4 x 2,000 = Rs 8,000. Yearly loss = 8,000 x 250 = Rs 20,00,000. The need shown is interdependence of departments.

  5. Q5 · 4 marks · Short answerHOTS / competency

A manager claims coordination is only the work of the chief executive. Examine the claim.

    Hint

    All managers.

    Answer

The claim is wrong. Coordination is all-pervasive and the responsibility of top, middle and lower managers alike, needed in every department and at every level. The chief executive coordinates the departments, while supervisors coordinate the work of workers on the floor.
