Coordination as the Essence of Management (ISC Class 12 Commerce)

Updated 18 October 2026 · Fact-checked

Coordination is the essence of management because it is not a separate function but the force that binds all functions together. Each function is performed to achieve it: planning matches plans, organising fits departments together, staffing balances human resources, directing harmonises efforts, and controlling keeps units in step. It is needed at every level.

Notice that every function feeds the same centre: each one exists to bring the organisation's activities together, so coordination is the essence, not a separat

Understand Coordination as the Essence of Management

1. Why 'essence'. Coordination is not a separate function. It is the thread that runs through planning, organising, staffing, directing and controlling, and is needed at all levels. The success of management is measured by how well all activities work together towards common goals.

2. How each function embeds coordination

FunctionHow coordination is embedded
PlanningPlans of all departments are matched with each other and with the overall objective; the sales plan matches production capacity and the budget
OrganisingActivities are grouped and authority-responsibility relationships set so that departments fit together and do not overlap
StaffingThe right number of people with the right skills are placed, so departmental needs are balanced
DirectingInstructions, motivation, leadership and communication harmonise individual efforts towards common goals
ControllingActual performance of all units is checked against standards and corrected, so that they stay in step

3. Notes on each

  • Planning: coordination begins here. The production plan is based on the sales forecast, and both fit within the finance budget. Mismatched plans cause shortages or idle capacity.
  • Organising: grouping activities, defining authority and responsibility and setting reporting relationships ensure that duties neither overlap nor leave gaps and that information flows smoothly.
  • Staffing: balances human resources so that no department is overloaded or idle and people with complementary skills work together.
  • Directing: good communication removes misunderstandings between departments.
  • Controlling: brings deviating units back in line with the plan and with each other.

4. How to answer. Do not merely define the five functions. For each, say how it achieves coordination, as in the table, with one example.

5. A budget-match sum (imaginary). Sales forecast: 12,000 units. Production plan: 14,000 units. Excess = 14,000 - 12,000 = 2,000 units. At Rs 300 per unit the idle stock is worth 2,000 x 300 = Rs 6,00,000, locked up because the plans were not matched. Coordination in planning would align the two.

Ordered from board level to HOTS. Try each one before you open the solution.

Example 1: Which function · 1 mark · MCQBoard level

A manager compares the output of all four shifts with the standard and corrects those that fall behind so that they match one another. Coordination is being achieved through:
(a) planning
(b) staffing
(c) controlling
(d) organising

Try it first, then show the solutionSolution
  1. Checking performance against standards and correcting keeps units in step: controlling.

Answer: (c)

Example 2: Coordination in organising · 2 marks · Short answerBoard level

Explain how organising achieves coordination.

Try it first, then show the solutionSolution
  1. Grouping activities and setting authority-responsibility and reporting relationships make departments fit together.
  2. Duties do not overlap or leave gaps, and information flows smoothly.

Answer: Departments fit together; no overlap or gaps.

Example 3: Plan mismatch cost · 4 marks · Short answerHarder board level

The sales forecast is 12,000 units while production is planned at 14,000 units at Rs 300 per unit. Find the excess output, the value of idle stock and explain which function should have prevented it.

Try it first, then show the solutionSolution
  1. Excess = 14,000 - 12,000 = 2,000 units.
  2. Value locked up = 2,000 x 300 = Rs 6,00,000.
  3. Planning should have matched the production plan with the sales forecast.
  4. That is how planning embeds coordination.

Answer: 2,000 units; Rs 6,00,000; planning should match the plans.

Example 4: Fill the table · 4 marks · Short answerHarder board level

Suppose a firm's purchase department buys material in line with the production plan, a clear chart shows who reports to whom, staff numbers in each department are fitted to workload, daily meetings align the teams, and monthly variance reports bring lagging units back to plan. Name the function that achieves coordination in each case.

Try it first, then show the solutionSolution
  1. Material bought according to the production plan: planning.
  2. Chart of reporting relationships: organising.
  3. Staff fitted to workload: staffing.
  4. Daily meetings to align teams and monthly variance reports: directing and controlling respectively.

Answer: Planning, organising, staffing, directing, controlling.

Example 5: Why essence · 8 marks · Long answerHOTS / competency

Suppose a student says, 'Coordination is just one more function, like staffing.' Write a reasoned reply explaining why coordination is called the essence of management, using all five functions.

Try it first, then show the solutionSolution
  1. Coordination is not a separate function but the force that binds all functions together.
  2. Planning matches the plans of departments with each other and with the overall objective.
  3. Organising fits departments together and prevents overlap and gaps.
  4. Staffing balances human resources so that no department is overloaded or idle.
  5. Directing harmonises individual efforts through communication, motivation and leadership.
  6. Controlling keeps units in step through comparison and corrective action.
  7. Because every function aims at unity of action and is performed at every level, management cannot succeed without it.

Answer: It runs through all five functions; hence the essence of management.

Where students lose marks in Coordination as the Essence of Management

The slips examiners see most often, and what to write instead.

  • Mistake: Defining the five functions instead of showing coordination in them

The chapter warns against merely defining planning, organising and staffing.

    Wrong working

Planning is deciding in advance; organising is arranging work.

    Right working

In planning, the sales plan is matched with production capacity; in organising, departments are fitted together.

Do this: Show how each achieves coordination.

    Usually costs: 2-3 marks.

  • Mistake: Calling coordination the sixth function

It is not a separate function.

    Wrong working

The functions are planning, organising, staffing, directing, controlling and coordinating.

    Right working

Coordination is the force that binds the five functions.

Do this: Say binds, not adds.

    Usually costs: 1 mark.

  • Mistake: No example

    Examples show understanding.

    Wrong working

    Planning achieves coordination.

    Right working

Planning achieves coordination, for example by basing the production plan on the sales forecast.

    Do this: Give one example.

    Usually costs: 1 mark.

Exam tips

  • Open with: coordination is not a separate function.
  • Use a table with one row per function.
  • Give one example for planning and one for controlling.
  • Close with: coordination is needed at all levels.
