Pay Slip and Payroll: Meaning, Components and Specimens (ISC Class 12)

Updated 17 October 2026 · Fact-checked

A pay slip is a statement given to each employee for a pay period showing earnings, deductions and net pay. A payroll is the employer's register listing the pay of all employees for the period. In both, net pay equals gross earnings minus total deductions.

Understand Pay Slip and Payroll

1. Pay slip (salary slip)

A pay slip is a document, given to each employee for each pay period, that shows how the pay has been worked out: the earnings (gross pay), the deductions and the net pay that is actually paid.

*Why it matters*: it lets the employee understand and check the pay, serves as proof of income (for loans, visas, tax returns) and records the deductions made.

2. Payroll

A payroll is a register or statement of all the employees (of the firm or of a department) for a pay period, showing for each the gross pay, deductions and net pay. It is maintained by the employer.

*Why it matters*: it is the base for paying salaries, passing accounting entries, preparing statutory returns, controlling labour cost and making bank transfers in one go.

3. Components

*Earnings*: basic pay; dearness allowance (DA); house rent allowance (HRA); conveyance and other allowances; overtime; bonus or incentive for the period.

*Deductions*: the employee's contribution to the provident fund; professional tax; income tax deducted at source (TDS); instalment of any loan or advance; insurance premium or other recoveries.

*Key relations*

  • Gross pay = Basic + DA + HRA + other allowances + overtime and bonus (if any).
  • Total deductions = PF + professional tax + TDS + loan instalment + other deductions.
  • Net pay = Gross pay - Total deductions.

4. Specimen pay slip (imaginary employee, month of April)

Earnings₹Deductions₹

Conveyance allowance1,600
Gross pay42,000Total deductions5,240
Net pay (42,000 - 5,240)36,760

(The heading of a pay slip normally also shows the employer's name, the employee's name, designation, employee number, month, bank account and days worked.)

5. Specimen payroll (same month)

Cross-check: 96,000 - 11,560 = 84,440; and 36,760 + 27,040 + 20,640 = 84,440.

6. Pay slip versus payroll

BasisPay slipPayroll
MeaningA statement of one employee's payA register of the pay of all employees

7. Examination points. Always show the working of gross, total deductions and net. State what is a deduction (PF, tax, loan) and what is an earning (allowances, overtime). When a specimen is asked, draw the table with the headings above. The employer's PF contribution is *not* deducted from the employee's pay.

How to answer Pay Slip and Payroll questions

Questions ask for the meaning and difference of the two documents, the components, a specimen, or a net-pay calculation.

  1. 1List the earnings and add them to get gross pay.
  2. 2List the deductions; compute the percentage items (PF = 12% of basic + DA) before adding.
  3. 3Subtract total deductions from gross pay to get net pay.

Example 3: Prepare a pay slip · 4 marks · Short answerHarder board level

Prepare a pay slip for an employee who has the following in a month: basic pay ₹25,000; dearness allowance ₹5,000; house rent allowance ₹7,500; overtime ₹1,500. Deductions: PF at 12% of basic and DA; professional tax ₹200; loan instalment ₹2,000.

Try it first, then show the solutionSolution
  1. Gross pay = 25,000 + 5,000 + 7,500 + 1,500 = ₹39,000.
  2. PF = 12% of (25,000 + 5,000) = 12% of 30,000 = ₹3,600.
  3. Total deductions = 3,600 + 200 + 2,000 = ₹5,800.
  4. Net pay = 39,000 - 5,800 = ₹33,200.

Answer: Gross ₹39,000; deductions ₹5,800; net pay ₹33,200 (set out in the earnings and deductions columns).

Example 4: Distinguish · 4 marks · Short answerHarder board level

A junior accountant says, 'A pay slip and a payroll are the same paper.' Correct her with four differences in complete sentences.

Try it first, then show the solutionSolution
  1. Meaning: a pay slip is the statement of one employee's pay; a payroll is the register of all employees' pay.
  2. Given to: the pay slip is given to the employee; the payroll is kept by the employer.
  3. Purpose: the pay slip informs the employee and is proof of income; the payroll is used for payment, accounting and control.
  4. Totals: a payroll gives column totals for the firm; a pay slip has no totals across employees.

Answer: Four differences: meaning, to whom given, purpose and totals.

Example 5: Payroll with errors · 8 marks · Short answerHOTS / competency

Suppose a firm's payroll shows, for an employee, basic ₹20,000, DA ₹3,000, HRA ₹6,000, conveyance ₹1,000; PF recorded as ₹3,000 and professional tax ₹200; and net pay of ₹26,800. The employee complains that his PF is wrongly stated, and the manager says the net pay is correct. Check the payroll, find the correct PF and net pay (PF is 12% of basic and DA), explain whether the manager is right and say why accurate payroll matters.

Try it first, then show the solutionSolution
  1. Gross pay = 20,000 + 3,000 + 6,000 + 1,000 = ₹30,000.
  2. Correct PF = 12% of (20,000 + 3,000) = 12% of 23,000 = ₹2,760, not ₹3,000.
  3. Total deductions as recorded = 3,000 + 200 = 3,200; net as recorded would be 30,000 - 3,200 = 26,800, so the manager's net figure follows the wrong PF.
  4. Correct deductions = 2,760 + 200 = ₹2,960; correct net pay = 30,000 - 2,960 = ₹27,040.
  5. The employee was under-paid by 27,040 - 26,800 = ₹240; the manager is wrong because the net pay is built on an incorrect PF.
  6. Accuracy matters: it keeps trust, avoids disputes and legal trouble, and ensures correct statutory returns and accounts.

Answer: Correct PF ₹2,760; correct net pay ₹27,040; the employee was under-paid by ₹240, so the manager is wrong.

Where students lose marks in Pay Slip and Payroll

The slips examiners see most often, and what to write instead.

  • Mistake: Adding deductions to gross pay

Direction of the deduction is overlooked.

    Wrong working

    Net pay = 39,000 + 5,800 = 44,800

    Right working

    Net pay = 39,000 - 5,800 = 33,200

Do this: Net is always less than gross.

    Usually costs: 2 marks.

  • Mistake: Wrong base for PF

PF is taken on gross pay instead of basic + DA.

    Wrong working

    PF = 12% of 39,000

    Right working

    PF = 12% of (basic + DA) = 12% of 30,000 = 3,600

Do this: Use the base stated in the question.

    Usually costs: 1-2 marks.

  • Mistake: Describing a payroll as a document given to the employee

    The two terms are confused.

    Wrong working

Payroll: the employee gets it with the salary.

    Right working

Payroll is the employer's register of all employees' pay; the pay slip goes to the employee.

Do this: Pay slip: one person; payroll: all.

    Usually costs: 1-2 marks.

  • Mistake: Column totals not cross-checked

A slip in one row spoils the total.

    Wrong working

    Net total written without checking.

    Right working

Check: total gross - total deductions = total net.

Do this: Always add across and down.

    Usually costs: 1-2 marks.

Exam tips

  • The syllabus asks for meaning, differences, components and specimens of both documents: practise drawing both tables with totals.
  • Show the formula 'Net pay = Gross pay - Total deductions' and every addition; step marks are given.
  • Do not put the employer's contribution to PF among the employee's deductions.
  • In specimens, include the employer's name, month and employee details in the heading.

  3. Q3 · 4 marks · Short answerHarder board level

An employee's gross pay is ₹52,000 and her net pay is ₹45,480. Find her total deductions. If PF is ₹4,320 and professional tax is ₹200, and the only other deduction is income tax at source, find the amount of the tax deducted.

    Hint

    Net = gross - deductions.

    Total deductions = 52,000 - 45,480 = ₹6,520. Tax = 6,520 - 4,320 - 200 = ₹2,000.

  4. Q4 · 4 marks · Short answerHarder board level

Explain the uses of (i) a pay slip to an employee and (ii) a payroll to an employer, with two points each.

    Hint

Proof and understanding; payment and records.

    Answer

    (i) A pay slip lets the employee understand how pay is made up and check the deductions; it is proof of income for loans and similar needs. (ii) A payroll is the basis for paying salaries to all employees and for accounting entries; it supports statutory returns and the control of labour cost.

  5. Q5 · 8 marks · Short answerHOTS / competency

Suppose a small firm has two employees, A with gross pay ₹30,000 and B with gross pay ₹24,000. Total deductions are ₹2,960 for A and ₹3,360 for B. Prepare a payroll summary showing net pay for each and totals, and state why the firm should still give each employee a separate pay slip.

    Hint

    Totals; individual information.

    Answer

Net pay A = 30,000 - 2,960 = ₹27,040; net pay B = 24,000 - 3,360 = ₹20,640. Totals: gross ₹54,000; deductions ₹6,320; net ₹47,680 (check: 27,040 + 20,640 = 47,680). A separate pay slip is needed because the payroll is kept by the employer, whereas each employee needs her own statement of earnings and deductions to check and use as proof of income.
