Locating Errors When the Trial Balance Does Not Agree: ISC Class 11 Accounts

Updated 17 October 2026 · Fact-checked

When the trial balance does not agree, find the difference and test it: a difference divisible by 9 suggests a transposition of figures; half the difference suggests an item posted on the wrong side; the difference itself suggests an omitted posting, a missing balance or a wrong total. If the errors cannot be found at once, the difference is put in a suspense account and removed as each error is rectified.

Test the difference: divisible by 9 means transposition, half means wrong side, the whole amount means omission; if still unfound, use a suspense account.

Understand Locating Errors When the Trial Balance Does Not Agree

Errors that disturb the trial balance (one-sided). Omitting to post one side; posting an amount on one side only; wrong amounts on the two sides; wrong totalling or balancing; carrying a wrong balance; recording a balance on the wrong side; omitting a balance from the trial balance.

Errors that do not disturb it (two-sided). Complete omission of a transaction; posting to a wrong account of the same nature; errors of principle; compensating errors; same wrong amount posted on both sides.

Tracing the difference.
1. *Re-add* the trial balance columns.
2. *Difference divisible by 9:* look for a transposition (e.g., 5,400 written as 4,500; difference 900).
3. *Half the difference equals an item:* an entry of that amount may have been posted on the wrong side. (A 1,250 item on the wrong side makes a difference of 2,500.)
4. *Difference equals an amount in the books:* an account was omitted from the trial balance, or one side was not posted.
5. Check the ledger balances against the books, carry-forwards and subsidiary book totals.
6. Open a suspense account if time is short.

Effect of errors on profit. An error in a nominal account changes profit; an error in a personal or real account does not.

Correcting the trial balance. After tracing, prepare a corrected trial balance or pass rectifying entries via the suspense account.

Which side for suspense? The side that is short.

Locating Errors When the Trial Balance Does Not Agree: key facts

  4. 4Pass rectifying entries using the suspense account.

Locating Errors When the Trial Balance Does Not Agree in real life

The idea, met in an everyday situation. Answer the question in your own words, then compare with the model answer. The one-line hook is what to remember.

Transposition

Suppose a clerk writes a debtor's balance of Rs 4,500 as Rs 5,400 in the trial balance.

What difference appears and how can it be spotted?

Try it first, then show the solutionSolution
  1. Difference = 5,400 - 4,500 = 900.
  2. 900 / 9 = 100, a whole number, which signals a transposition.

Answer: Difference Rs 900, divisible by 9.

Memory hook: Divisible by 9: look for swapped digits.

Tricks to remember Locating Errors When the Trial Balance Does Not Agree

Short memory aids. Say each one aloud once, then use it on a question the same day.

  • 9 and 2

Divide by 9 for transposition and by 2 for wrong side.

    Use it when: Tracing.

  • Short side suspense

The side that is short takes the suspense.

    Use it when: Suspense.

  • Two-sided hide

Errors of principle and omission hide from the trial balance.

    Use it when: Limitations.

Locating Errors When the Trial Balance Does Not Agree: solved examples

Ordered from board level to HOTS. Try each one before you open the solution.

Example 1: Transposition · 1 mark · MCQBoard level

A difference in the trial balance of Rs 450 is most likely caused by:
(a) a transposition of figures (b) a complete omission (c) an error of principle (d) a compensating error

Try it first, then show the solutionSolution
  1. 450 / 9 = 50: a whole number, so a transposition is likely.

Answer: (a) a transposition of figures

Example 2: Errors and the trial balance · 4 marks · Short answerBoard level

State which of these errors will affect the trial balance: (i) a credit sale entered in the sales book but not posted to the customer; (ii) rent posted to the wrong expense account; (iii) a purchase of Rs 2,000 omitted entirely; (iv) a payment of Rs 600 posted to the credit of the party. (4 marks)

Try it first, then show the solutionSolution
  1. (i) One-sided: affects.
  2. (ii) Two-sided: does not.
  3. (iii) Complete omission: does not.
  4. (iv) Wrong side: affects.

Answer: (i) and (iv) affect the trial balance; (ii) and (iii) do not.

Example 3: Open and close the suspense account · 6 marks · Long answerHarder board level

The trial balance totals are: debit Rs 4,15,300; credit Rs 4,17,800. The difference is traced to one item: Rs 1,250 paid to Zoya was posted to the credit of her account. Show the suspense entry, rectify, and show the closing totals. (6 marks)

Try it first, then show the solutionSolution
  1. Credit is larger by 2,500, so debit is short and Suspense is debited with 2,500.
  2. Half the difference is 1,250: the item posted on the wrong side.
  3. Rectifying entry: Zoya Dr 2,500, To Suspense 2,500 (cancel the wrong credit of 1,250 and enter the debit of 1,250).
  4. Suspense closes to nil.

Answer: Suspense A/c Dr 2,500; rectified by Zoya Dr 2,500, To Suspense 2,500. Corrected totals agree.

Example 4: Several errors · 8 marks · Long answerHarder board level

Debit total Rs 8,73,400; credit total Rs 8,67,900. Errors found: (i) Rs 3,000 received from Gopal was debited to Cash but the credit to Gopal was omitted; (ii) the Sales book was undercast by Rs 2,500. Find the suspense balance, pass the rectifying entries, show whether the suspense account closes and the effect on profit. (8 marks)

Try it first, then show the solutionSolution
  1. Debit is larger by 5,500, so the suspense account is credited with 5,500 (credit side was short).
  2. (i) The credit to Gopal is missing: Suspense Dr 3,000, To Gopal 3,000.
  3. (ii) The credit side of Sales is too low: Suspense Dr 2,500, To Sales 2,500.
  4. Suspense: Cr 5,500 against Dr 3,000 + 2,500 = 5,500, so it closes.
  5. Profit increases by Rs 2,500 (sales); the Gopal item is a personal account and has no profit effect.

Answer: Suspense Cr Rs 5,500; one combined entry: Suspense Dr 5,500, To Gopal 3,000, To Sales 2,500. The account closes and profit rises by Rs 2,500.

Example 5: Why agreement is not enough · 4 marks · Short answerHOTS / competency

A trial balance agrees at Rs 6,40,000. The accountant later finds that a purchase of machinery for Rs 15,000 was debited to Purchases and a credit sale of Rs 7,000 was omitted. Show the effect on gross profit and explain why the trial balance did not disclose them. (4 marks)

Try it first, then show the solutionSolution
  1. Machinery debited to Purchases: gross profit understated by 15,000.
  2. Credit sale omitted: sales understated by 7,000 and debtors understated; gross profit understated by 7,000 (cost not affected).
  3. Total understated by 22,000. Both errors are two-sided, so debit still equals credit.

Answer: Gross profit understated by Rs 22,000; both errors are two-sided and so the trial balance still agreed.

Where students lose marks in Locating Errors When the Trial Balance Does Not Agree

The slips examiners see most often, and what to write instead.

  • Mistake: Debiting suspense when the debit side is larger

    Direction confusion.

    Wrong working

Suspense Dr when debit exceeds credit

    Right working

Suspense Cr when debit exceeds credit

Do this: Short side takes it.

    Usually costs: 2 marks.

  • Mistake: Changing profit for a personal account error

    Profit shown for everything.

    Wrong working

    Profit reduced by 1,250

    Right working

    No profit effect

Do this: Only nominal accounts affect profit.

    Usually costs: 1-2 marks.

  • Mistake: Dividing by 9 for every difference

    Habit.

    Wrong working

    Assuming transposition always

    Right working

Test 9, 2 and exact amount

Do this: Use all three tests.

    Usually costs: 1 mark.

Exam tips

  • Always show the divisibility test in the working.
  • State clearly if an error affects the trial balance.
  • End with the corrected totals.

Practice questions on Locating Errors When the Trial Balance Does Not Agree

Write each answer on paper first. Open the hint only if you are stuck, and the answer only when you have finished.

  1. Q1 · 1 mark · MCQBoard level

An error of omitting a transaction completely will:
    (a) disturb the trial balance (b) not disturb it (c) double the debit (d) reduce the credit

    Hint

    Both sides missing.

    Answer

    (b) not disturb it

  2. Q2 · 3 marks · Short answerBoard level

The trial balance shows a difference of Rs 4,500. Give two possible causes and the test for each. (3 marks)

    Hint

    9 and 2.

    Answer

    4,500 / 9 = 500, so a transposition is possible; 4,500 / 2 = 2,250, so an item of Rs 2,250 may have been posted on the wrong side.

  3. Q3 · 4 marks · Short answerHarder board level

The trial balance totals are: debit Rs 6,25,400; credit Rs 6,31,900. Find the difference, test it for a wrong-side posting, and if the cause is a payment of Rs 3,250 to Rani credited to her account instead of debited, pass the rectifying entry. (4 marks)

    Hint

    Half the difference.

    Answer

Credit exceeds debit by Rs 6,500; half is Rs 3,250, the payment posted on the wrong side. Suspense A/c Dr 6,500 initially. Rectify: Rani Dr 6,500, To Suspense 6,500 (cancel the credit of 3,250 and enter the debit of 3,250).

  4. Q4 · 6 marks · Long answerHarder board level

The trial balance totals are: debit Rs 7,12,400; credit Rs 7,08,900. Errors found: (i) wages of Rs 1,500 were debited to the Wages account but the credit to Cash was omitted; (ii) discount of Rs 2,000 allowed was debited to Discount Allowed but the credit to the debtor was omitted. Prepare the suspense account, pass the entry and state the effect on profit. (6 marks)

    Hint

    Debit larger by 3,500.

    Answer

Suspense Cr 3,500. Rectify: Suspense Dr 3,500, To Cash 1,500, To Debtor 2,000. The account closes. Profit is unaffected because the expense accounts already carry the debits.

  5. Q5 · 3 marks · Short answerHOTS / competency

A bookkeeper finds the trial balance agrees only after he put Rs 8,000 into a suspense account. He decides to leave it there permanently as "miscellaneous". Evaluate, using the effect on the final accounts. (3 marks)

    Hint

    Hidden errors.

    Answer

Leaving it hides errors of Rs 8,000 that may affect profit, assets or liabilities. A suspense balance must be investigated and cleared before final accounts or at least disclosed.
