Importance of Planning: Six Benefits with Cases (Class 12)

Updated 15 October 2026 · Fact-checked

Planning is important because it provides directions, reduces the risks of uncertainty, reduces overlapping and wasteful activities, promotes innovative ideas, facilitates decision making and establishes standards for controlling. Without planning, managers would have no agreed goals to work towards and no yardstick against which to measure performance.

Remember the six benefits of planning: direction, risk, overlap, innovation, decisions and standards for control.

Understand Importance of Planning

Planning is deciding in advance what to do and how to do it. It bridges the gap between where the organisation is and where it wants to go. NCERT lists six points of its importance; these are among the most-asked items in the whole paper. For each, learn the idea, the cue and why it matters.

1. Planning provides directions. By stating in advance how work is to be done, planning tells every department and employee what the goal is and which way to go. Without it, people would work in different directions.
*Cue*: 'every department knew what to achieve and how', 'the target was clear to all'.

2. Planning reduces the risks of uncertainty. Planning makes managers look ahead, anticipate changes (in demand, prices, technology) and prepare for them. It reduces, but cannot eliminate, risk.
*Cue*: 'kept extra stock in case of a transport strike', 'prepared for a possible fall in demand'.

3. Planning reduces overlapping and wasteful activities. Because the activities of departments are decided in advance and coordinated, duplication and useless work are avoided; everyone knows what to do and when.
*Cue*: 'two departments were buying the same item separately; planning stopped this'.

4. Planning promotes innovative ideas. As the first function of management, planning requires managers to think of new ways and new ideas; it gives scope for creative thinking.
*Cue*: 'brainstorming to find a new way to reach rural customers'.

5. Planning facilitates decision making. Planning involves listing alternatives, evaluating them and choosing the best. So it helps managers take rational, timely decisions.
*Cue*: 'compared three options and chose the best'.

6. Planning establishes standards for controlling. Planning sets the goals (standards) against which actual performance is measured. Without planning, there can be no controlling: you cannot say whether results are good or bad without a target.
*Cue*: 'monthly target of 500 units became the yardstick for performance reviews'.

Link to limitations. Planning has limits too: it can create rigidity, may not work in a dynamic environment, can reduce creativity at lower levels, involves huge costs, is time-consuming and does not guarantee success. Questions sometimes ask 'despite its limitations, why is planning important?'.

Link to controlling. Point 6 connects Planning (Chapter 4) with Controlling (Chapter 8): planning and controlling are 'looking ahead' and 'looking back' respectively, and are inseparable.

How to answer Importance of Planning questions

Importance of planning is asked as 1-mark identifications, 4-mark cases with two points, and 6-mark 'explain the importance' questions.

  1. 1Identify what planning achieved in the case: clear direction, preparation for risk, no duplication, a new idea, a better choice among options, or a target to judge performance.
  2. 2Map it to one of the six points.
  3. 3Write the heading in NCERT's words and quote the line.
  4. 4Explain in one or two lines in your own words.
  5. 5For a 6-mark answer, give all six with a short example each.

Importance of Planning in real life

The idea, met in an everyday situation. Answer the question in your own words, then compare with the model answer. The one-line hook is what to remember.

Reduces the risks of uncertainty

Suppose your family plans a road trip in the monsoon and books a hotel with free cancellation and carries an extra day's food in case of landslides.

Which importance of planning does this show?

Try it first, then show the solutionSolution
  1. The family looked ahead at possible problems (rain, landslides).
  2. It prepared alternatives in advance.
  3. Risk is reduced, though not removed.

Answer: Planning reduces the risks of uncertainty by anticipating changes and preparing for them; it cannot remove the risk completely.

Memory hook: Planning is the umbrella, not the end of the rain.

Establishes standards for controlling

Imagine you plan to finish 5 chapters of revision each week before the board exam. On Sunday you check: you finished only 3.

Which importance of planning helped you notice the shortfall?

Try it first, then show the solutionSolution
  1. Your plan set a standard: 5 chapters a week.
  2. You compared actual work (3) with it.
  3. Without the plan, you would not know you were behind.

Answer: Planning establishes standards for controlling: the plan's target became the yardstick to measure progress and correct it.

Memory hook: No target, no way to tell if you are behind.

Tricks to remember Importance of Planning

Short memory aids. Say each one aloud once, then use it on a question the same day.

  • D-R-O-I-D-S

Directions, Risk, Overlapping, Innovation, Decisions, Standards.

Use it when: All six points of importance.

  • Reduce, not remove

Planning reduces uncertainty; it never removes it.

Use it when: Avoiding the 'eliminates risk' trap.

  • Plan forward, control backward

Planning looks ahead and sets targets; controlling looks back and checks them.

Use it when: Explaining point 6.

Importance of Planning: solved examples

Ordered from board level to HOTS. Try each one before you open the solution.

Example 1: Identify the point · 1 mark · MCQBoard level

'Sitara Textiles' found that its purchase and production departments had both been ordering the same dyes separately. After a joint plan was made, the duplication stopped. Which importance of planning is shown?
(a) Provides directions
(b) Reduces overlapping and wasteful activities
(c) Promotes innovative ideas
(d) Facilitates decision making

Try it first, then show the solutionSolution
  1. Duplication stopped through coordinated advance planning (1 mark).

Answer: (b) Reduces overlapping and wasteful activities

Example 2: Explain three points · 3 marks · Short answerBoard level

Explain any three points of importance of planning. (3 marks)

Try it first, then show the solutionSolution
  1. Three headings with explanation, one mark each.

Answer: (1) Planning provides directions: it states in advance what is to be done and how, so everyone works towards the same goal. (2) Planning facilitates decision making: it involves listing alternatives, evaluating them and choosing the best. (3) Planning establishes standards for controlling: the goals it sets are the standards against which actual performance is measured; without planning, controlling is not possible.

Example 3: Two points from a case · 4 marks · Short answerHarder board level

Before the festive season, the manager of 'Mehfil Caterers' forecast that vegetable prices might rise and booked supplies at fixed rates. She also held a brainstorming session that produced a new 'mini-thali' for office parties. Identify two points of importance of planning, quoting the lines. (4 marks)

Try it first, then show the solutionSolution
  1. 'forecast that vegetable prices might rise and booked supplies at fixed rates': reduces risks of uncertainty (1 + 1 marks).
  2. 'brainstorming session that produced a new mini-thali': promotes innovative ideas (1 + 1 marks).

Answer: (1) Planning reduces the risks of uncertainty: by anticipating a rise in vegetable prices and booking supplies in advance, the manager prepared for a likely change. (2) Planning promotes innovative ideas: as the first function, it gave scope for creative thinking, which produced the mini-thali.

Example 4: No planning, no controlling · 3 marks · Short answerHarder board level

'Without planning, there is nothing to control.' Explain the statement. (3 marks)

Try it first, then show the solutionSolution
  1. Planning sets goals that act as standards (1 mark).
  2. Controlling compares actual performance with those standards and corrects deviations (1 mark).
  3. Without standards, there is no basis for comparison, so planning is a prerequisite of controlling (1 mark).

Answer: Planning sets the goals of the organisation, which become the standards of performance. Controlling compares actual performance with these standards and takes corrective action. If there were no plan, there would be no standard to compare with, so managers could not judge whether performance is good or bad. Hence planning establishes the standards for controlling, and without planning there is nothing to control.

Example 5: Importance despite limitations · 4 marks · Short answerHOTS / competency

A manager argues, 'Planning costs time and money and cannot guarantee success, so we should drop it.' Respond with three points of the importance of planning. (4 marks)

Try it first, then show the solutionSolution
  1. Accept the limitations briefly (1 mark).
  2. Three points of importance with explanation (3 marks).

Answer: It is true that planning is costly, time-consuming and does not guarantee success. But dropping it would be worse: (1) without planning there would be no direction, and departments would pull different ways; (2) planning reduces the risks of uncertainty by preparing for likely changes; (3) without planned targets there would be no standards for controlling, so the firm could not tell whether it is succeeding. The answer is to plan flexibly, not to stop planning.

Example 6: Case study: a new hospital wing · 4 marks · Case-basedHOTS / competency

Suppose the management of 'Arogya Hospital' plans a new children's wing. (i) It tells every department exactly what it must complete by which month. (ii) It compares three building designs and picks the one with the best cost and safety. (iii) It keeps a reserve fund in case construction costs rise. (iv) It fixes a monthly progress target against which the contractor's work is checked.
Identify the importance of planning in each. (4 marks)

Try it first, then show the solutionSolution
  1. (i) Provides directions (1 mark).
  2. (ii) Facilitates decision making (1 mark).
  3. (iii) Reduces the risks of uncertainty (1 mark).
  4. (iv) Establishes standards for controlling (1 mark).

Answer: (i) Planning provides directions. (ii) Planning facilitates decision making. (iii) Planning reduces the risks of uncertainty. (iv) Planning establishes standards for controlling.

Where students lose marks in Importance of Planning

The slips examiners see most often, and what to write instead.

  • Mistake: Saying planning eliminates uncertainty

NCERT says it reduces the risks.

    Wrong working

    Planning removes all risks.

    Right working

Planning reduces the risks of uncertainty; it cannot eliminate them.

    Do this: Use 'reduces'.

Usually costs: 1 mark (and the AR item).

  • Mistake: Writing features or limitations under importance

Each list answers a different question.

    Wrong working

Importance: planning is pervasive and futuristic.

    Right working

Importance: it provides directions and reduces uncertainty.

Do this: Importance = what planning does for the firm.

Usually costs: All marks for those points.

  • Mistake: Merging 'reduces overlapping' with 'provides directions'

    They are separate points.

    Wrong working

Planning gives direction and so avoids waste.

    Right working

Two headings: provides directions; reduces overlapping and wasteful activities.

Do this: One heading per point.

    Usually costs: 1 mark.

  • Mistake: No quoted line in cases

    Evidence carries marks.

    Wrong working

    Point: promotes innovative ideas.

    Right working

Promotes innovative ideas, as 'brainstorming produced a new mini-thali'.

    Do this: Quote, then explain.

Usually costs: ½ to 1 mark.

Exam tips

  • Importance of planning was a 6-mark question in the 2023-24 sample paper (Q32(b)) and the 2026 board paper 66/5/1 (Q34(b)), a 4-mark question in 2026 66/1/1 (Q27(a)), and 'benefits of planning' was the 6-mark Q34(B) in the 2026-27 sample paper.
  • Learn the six headings exactly; examiners mark against them.
  • In AR items, watch for 'eliminates'; planning only reduces uncertainty.
  • Point 6 links to Controlling; use it in 'relationship between planning and controlling' answers too.
  • Planning and Organising together carry 14 marks in 2026-27.

Practice questions on Importance of Planning

Write each answer on paper first. Open the hint only if you are stuck, and the answer only when you have finished.

  1. Q1 · 1 mark · MCQBoard level

Which importance of planning is shown when managers choose the best among several alternatives?
    (a) Provides directions
    (b) Facilitates decision making
    (c) Reduces overlapping
    (d) Promotes innovative ideas

    Hint

    Evaluate and choose.

    Answer

    (b) Facilitates decision making.

  2. Q2 · 3 marks · Short answerBoard level

How does planning reduce the risks of uncertainty? (3 marks)

    Hint

    Looking ahead.

    Answer

Planning makes managers look ahead, anticipate future changes such as shifts in demand, prices or technology, and decide in advance how to deal with them. This reduces the impact of unexpected events. However, planning cannot eliminate uncertainty completely, because the future cannot be predicted exactly.

  3. Q3 · 1 mark · Assertion-reasonHarder board level

Assertion (A): Planning eliminates the risks of uncertainty.
Reason (R): Planning helps managers anticipate future changes and prepare for them.
    (a) Both A and R are true and R is the correct explanation of A.
    (b) Both A and R are true but R is not the correct explanation of A.
    (c) A is true but R is false.
    (d) A is false but R is true.

    Hint

    Reduce or eliminate?

    Answer

    (d) A is false (planning reduces, not eliminates, risk); R is true.

  4. Q4 · 3 marks · Short answerHarder board level

In 'Bhoomi Agro', the sales target of 2,000 tonnes for the year became the basis for monthly reviews, and shortfalls were corrected quickly. Identify the importance of planning and explain it. (3 marks)

    Hint

    Target as yardstick.

    Answer

Planning establishes standards for controlling. The planned target of 2,000 tonnes acted as the standard against which actual sales were measured each month; deviations could then be identified and corrected. Without the plan, there would be no basis for control.

  5. Q5 · 4 marks · Short answerHarder board level

Explain 'planning provides directions' and 'planning promotes innovative ideas'. (4 marks)

    Hint

Goal and way; first function and creativity.

    Answer

Planning provides directions: by stating in advance what is to be done and how, it gives a clear goal and course of action to every department, so efforts are not scattered (2 marks). Planning promotes innovative ideas: as the first function of management, it requires managers to think about the future and new ways of doing things, giving scope for creativity and fresh ideas (2 marks).

  6. Q6 · 6 marks · Long answerHarder board level

Explain the importance of planning. (6 marks)

    Hint

    D-R-O-I-D-S.

    Answer

    (1) Provides directions. (2) Reduces the risks of uncertainty (but cannot eliminate them). (3) Reduces overlapping and wasteful activities through coordinated plans. (4) Promotes innovative ideas, as the first function needing creative thinking. (5) Facilitates decision making by evaluating alternatives. (6) Establishes standards for controlling. Each point with one line of explanation, one mark each.

  7. Q7 · 3 marks · Short answerHOTS / competency

A start-up founder says, 'We are too small to plan; we will decide each day as things come.' Using two points of the importance of planning, explain what problems the start-up may face. (3 marks)

    Hint

    Direction and standards.

    Answer

    (1) Without planning there is no direction: team members may work on different priorities, wasting effort and causing overlapping work. (2) Without planning there are no standards for controlling: the founder cannot tell whether the start-up is on track, because there is no target to compare results with. Even a small firm needs simple, flexible plans.
