Spreadsheet Functions and Charts: SUM, AVERAGE, MAX, MIN, COUNT (ICSE Class 8)

Updated 17 October 2026 · Fact-checked

A function is a ready-made formula: begin with =, type the name, put arguments in brackets and separate them with commas. SUM, AVERAGE, MAX, MIN and COUNT work on a range, and COUNT counts only numbers. A column or bar chart compares values, a line chart shows change over time and a pie chart shows parts of a whole.

One range, B2:B6, feeds five functions; the orange cell 90 is the MAX and the blue cell 62 is the MIN.

Understand SUM, AVERAGE, MAX, MIN, COUNT and Creating Charts

Rules to enter a function. Begin with =; type the name correctly; put the arguments in brackets straight after the name with no space, as in =SUM(B2:B6); separate arguments with commas; use a colon for a range; close every bracket; press Enter.

Five functions (B2:B6 = 78, 85, 62, 90, 70):

FunctionDoesResult
SUMadds385
AVERAGEmean77
MAXlargest90
MINsmallest62
COUNTcounts cells holding numbers5

COUNT ignores blanks and text. If C2:C5 holds 40, 55, AB, 70, then =COUNT(C2:C5) is 3, =SUM(C2:C5) is 165 and =AVERAGE(C2:C5) is 165 / 3 = 55 (text is skipped). The AutoSum button inserts =SUM for a nearby range.

Chart steps. Enter data with headings; select the range including the headings; choose Insert then Chart and a type; add title, axis titles, legend and data labels; resize it. The chart updates when data change.

Which chart.

ChartBest for
Column or barcomparing values (marks in subjects)
Linechange over time (temperature each month)
Pieparts of a whole, each part as a share of 360 degrees

Parts of a chart. Title, plot area, x-axis (categories), y-axis (values), legend, data labels, gridlines.

Pie angles. A part's angle = part / total x 360. For a pocket money of 1000 rupees (invented) with 250 on books, 150 on snacks, 400 saved and 200 on others, the angles are 90, 54, 144 and 72 degrees, which add to 360.

SUM, AVERAGE, MAX, MIN, COUNT and Creating Charts in real life

The idea, met in an everyday situation. Answer the question in your own words, then compare with the model answer. The one-line hook is what to remember.

A hypothetical weekly steps log

Suppose a student records steps for five days in B2:B6: 4000, 5500, 6000, 4500 and 5000.

Give the total, average, maximum and the best chart to show change over the week.

Try it first, then show the solutionSolution
  1. SUM = 25000.
  2. AVERAGE = 25000 / 5 = 5000.
  3. MAX = 6000.
  4. Change over time needs a line chart.

Answer: Total 25000, average 5000, maximum 6000; use a line chart.

Memory hook: Trend means line.

Where students lose marks in SUM, AVERAGE, MAX, MIN, COUNT and Creating Charts

The slips examiners see most often, and what to write instead.

  • Mistake: Counting text in COUNT

    COUNT counts numbers only.

    Wrong working

    COUNT of 40, 55, AB, 70 is 4.

    Right working

    COUNT is 3.

Do this: Skip text and blanks.

    Usually costs: 1 mark

  • Mistake: Selecting data without headings

The chart then has no labels.

    Wrong working

    Selecting B2:B6 only.

    Right working

    Selecting A1:B6.

    Do this: Include headings.

    Usually costs: 1 mark

  • Mistake: Using a space after the function name

    Brackets follow the name immediately.

    Wrong working

    =SUM (B2:B6)

    Right working

    =SUM(B2:B6)

    Do this: No space.

    Usually costs: 1 mark

Exam tips

  • Show the function and its numerical result.
  • Say that COUNT and AVERAGE skip text and blanks.
  • Name the chart type and the reason for choosing it.
  • Include the headings when selecting data for a chart.

Practice questions on SUM, AVERAGE, MAX, MIN, COUNT and Creating Charts

Write each answer on paper first. Open the hint only if you are stuck, and the answer only when you have finished.

  1. Q1 · 1 mark · MCQBoard level

Which chart best shows how temperature changes each month?
    (a) Pie (b) Line (c) None (d) Only a table

    Hint

    Change over time.

    Answer

    (b) Line.

  2. Q2 · 3 marks · Short answerBoard level

Why must the arguments of a function be placed in brackets directly after its name, and what does a comma between two arguments do? (3 marks)

    Hint

    Think of =SUM(B2:B6,D2).

    Answer

The brackets tell the spreadsheet which values the function must work on, and the name must be followed by them with no space. A comma separates two arguments, so =SUM(B2:B6,D2) adds the range B2:B6 and also the cell D2.

  3. Q3 · 3 marks · Short answerHarder board level

    D2:D6 holds 12, 20, blank, 8 and 40. Find COUNT and AVERAGE. (3 marks)

    Hint

    Blank is ignored.

    Answer

    COUNT = 4 (12, 20, 8, 40). Sum = 80, so AVERAGE = 80 / 4 = 20.

  4. Q4 · 4 marks · Long answerHarder board level

Months are in A1:A7 (with a heading) and rainfall in B1:B7 (with a heading). Which cells would you select to draw a chart of the change in rainfall over the months, which chart type suits, and what would you add afterwards? (4 marks)

    Hint

Include the headings; trend means line.

    Answer

Select A1:B7, including the headings. A line chart suits, since the data show change over time. Then add a chart title and axis titles (and a legend or data labels if needed); the chart updates automatically when the data change.

  5. Q5 · 4 marks · Long answerHOTS / competency

A student draws a pie chart of the monthly temperature of a city. Explain why a different chart is better, and which one. (4 marks)

    Hint

Pie shows parts of a whole.

    Answer

A pie chart shows parts of a whole, but temperature is not a share of a total. Because the data show change over time, a line chart is better as it shows the rise and fall month by month.
