Operating System Functions, Types and CUI Versus GUI: ICSE Class 8
Updated 17 October 2026 · Fact-checked
An operating system is system software that manages hardware and software resources and acts as the interface between user and hardware. Its functions are process, memory, file and device management, security and the user interface. Types include single-user, multi-user, real-time and mobile. A CUI uses typed commands; a GUI uses windows, icons, menus and a pointer.
Notice the operating system sits between applications and hardware, and does six jobs: process, memory, file, device, security and user interface.

Understand Operating System Functions, Types and CUI Versus GUI
Operating system (OS). System software that manages the computer's resources and connects the user to the hardware. Layers: user, application software, operating system, hardware. It is loaded at start-up, called booting. Examples: Windows, macOS, Linux, Android, iOS, MS-DOS.
Why needed. Hardware understands only machine instructions; the OS shares the processor, memory and devices among programs, gives a standard way to use the screen, printer and storage, and protects data.
Functions.
| Function | What it does |
|---|---|
| Process management | decides which program uses the CPU and for how long |
| Memory management | gives RAM to programs and takes it back |
| File management | creates, names, copies, moves and deletes files and folders |
| Device management | controls devices through device drivers |
| Security | passwords, accounts and permissions |
| User interface | CUI or GUI |
Good OS features. Easy to use, efficient, reliable, secure, multitasking, compatible and updatable. Multitasking works by time sharing: the CPU gives each program a tiny slice of time in turn.
Types. Single-user single-tasking (MS-DOS); single-user multitasking (Windows, macOS); multi-user (Unix, Linux servers); real-time (air-traffic control, car airbags); mobile (Android, iOS); batch (similar jobs run together).
CUI versus GUI.
| CUI | GUI |
|---|---|
| typed commands at a prompt | icons and menus with a mouse or touch |
| must remember commands | no commands to remember |
| text only | text, pictures, colour, video |
| little memory | more memory and processing |
| harder for beginners | easy for beginners |
| MS-DOS | Windows, macOS |
GUI elements. Desktop, icons, windows, menus, pointer, taskbar or dock, dialog boxes. Advantages. Easy to learn, options visible, easy multitasking, drag and drop, consistent look, supports pictures and video. Limitations. More memory and processing power; expert repeated tasks can be slower.

Operating System Functions, Types and CUI Versus GUI in real life
The idea, met in an everyday situation. Answer the question in your own words, then compare with the model answer. The one-line hook is what to remember.
A hypothetical computer lab
Suppose in a school lab a student plays music while typing a report and a printer prints a worksheet at the same time.
Which OS functions make this possible?
Try it first, then show the solutionSolution
- The music and report share the CPU: process management.
- Both programs need RAM: memory management.
- The printer is controlled through its driver: device management.
Answer: Process management, memory management and device management; the CPU shares time between programs, which is multitasking.
Memory hook: The OS is the referee of the computer.

Answer: (i) Security, (ii) memory management, (iii) file management.
Example 3: Why a device driver? · 3 marks · Short answerHarder board level
A new printer works only after its driver is installed. Explain what a device driver is and which OS function uses it. (3 marks)
Try it first, then show the solutionSolution
- A small program that lets the OS control a device (1).
- Device (input/output) management uses it (1).
- Without it the OS cannot send commands to the printer (1).
Answer: A device driver is a small program that lets the OS control a device. It belongs to device management; without it the OS cannot talk to the printer.
Example 4: CUI versus GUI table · 4 marks · Long answerHarder board level

Try it first, then show the solutionSolution
- Input method (1).
- Remembering commands (1).
- Output type (1).
- Memory and ease (1).
Answer: A CUI uses typed commands while a GUI uses icons and menus; a CUI needs exact commands to be remembered while a GUI shows the options; a CUI shows only text while a GUI shows text, pictures and colour; a CUI needs little memory and is harder for beginners while a GUI needs more memory and is easy for beginners.

Where students lose marks in Operating System Functions, Types and CUI Versus GUI
The slips examiners see most often, and what to write instead.
Mistake: Calling the OS application software
The OS is system software.
Wrong working
Windows is application software.
Right working
Windows is system software.
Do this: Layers: application software sits above the OS.
Usually costs: 1 mark
Mistake: Saying CUI shows pictures
A CUI is text only.
Wrong working
CUI uses icons.
Right working
CUI uses typed commands; GUI uses icons.
Do this: CUI = commands.
Usually costs: 1 mark

Questions asking for functions need a list.
Wrong working
The OS manages files.
Right working
Process, memory, file, device management, security and user interface.
Do this: Learn all six.
Usually costs: 1 to 2 marks

Practice questions on Operating System Functions, Types and CUI Versus GUI
Write each answer on paper first. Open the hint only if you are stuck, and the answer only when you have finished.
Q1 · 1 mark · MCQBoard level
An operating system that must respond within a fixed, very short time, as in an air-traffic control system, is called:
(a) batch (b) real-time (c) mobile (d) single-userHint
Delay can be dangerous.
Answer
(b) real-time.
Q2 · 2 marks · Short answerBoard level
List four functions of an operating system. (2 marks)
Hint
Process, memory, file, device, security.
Answer
Any four of process management, memory management, file management, device management, security and user interface.
Q3 · 3 marks · Short answerHarder board level
Explain multitasking and time sharing. (3 marks)
Hint
Tiny slices of time.
Answer
Multitasking means running several programs at once. The processor gives each program a tiny slice of time in turn, called time sharing, so quickly that all seem to run together.
Q4 · 4 marks · Long answerHarder board level
Give four advantages and one limitation of a GUI. (4 marks)
Hint
Easy, visible, drag, pictures.
Answer
A GUI is easy to learn, shows the options so no commands need remembering, allows easy multitasking and drag and drop, and supports pictures and video. A limitation is that it needs more memory and processing power.
Q5 · 4 marks · Long answerHOTS / competency
A school with very old computers can only run a text-based system. Argue whether a CUI or a GUI suits them, with two reasons and one drawback. (4 marks)
Hint
Memory and difficulty.
Answer
A CUI suits them because it uses little memory and processing power, so it runs on old machines, and it is fast for experts who know the commands. The drawback is that it is hard for beginners, who must remember exact commands and spelling.
