Understand Event Notices for School and Society (50 Words)

What an event notice does. It tells a group of people that something is going to happen and what they must do about it. In the board paper you may be asked to announce a workshop, seminar, competition, camp, exhibition, webinar or a residents' drive. The syllabus line reads notice, up to 50 words, one of two questions, 4 marks.

Layout, in order, inside a box.
1. Name of the school or organisation (top centre).
2. The word NOTICE (centre).
3. Date (left).
4. Heading in capitals (centre).
5. Body (about 50 words).
6. Writer's name, then designation.

The body: five questions to answer.

  • What is the event, and why is it held?
  • When: day, date and time.
  • Where: the venue.
  • Who may take part?
  • How do they take part: register with whom, by when, any fee, what to bring?

Add a contact detail only if the question gives one.

Language. Formal, impersonal and in short sentences, often in the passive: Students are informed that..., Interested students may register with the undersigned. No greetings, no thanks and no exclamation marks. Do not use I and you.

Counting words. The body should be 40-50 words. The title lines are not padded. A body of 100 words loses expression and accuracy marks; a body of 25 words misses details.

Role. The question tells you who you are, for example Secretary of the Science Club or Secretary of a Residents' Welfare Association. Sign with that name and designation. If the question gives no name, use a neutral name.

Typical traps. Missing the date or day, no registration step, writing a long introduction on the importance of the event, forgetting the box, and signing with the wrong designation.
