Steps to Create a Chart in a Spreadsheet: Class 12 Method and Chart Tools

Updated 15 October 2026 · Fact-checked

To create a chart, enter the data with row and column headings, select the range including the headings, and choose a chart type and sub-type from Insert → Charts. The Chart Tools (Design, Layout, Format tabs) then let you change the type, switch rows and columns, add titles, legends and labels, and move or resize the chart.

Follow the five steps in order, and remember the chart stays linked to the data, so changing values updates it automatically.

Illustration drawn for QuestionBuddy.

Understand Steps to Create a Chart

Step 1: arrange the data. Put categories (for example quarters) in the first column and series (for example products) in the first row, with values in the grid. Headings become the chart's category labels and legend entries. Avoid blank rows or columns inside the range.

Step 2: select the range including headings (use Ctrl to select non-adjacent ranges, such as names and one column of values).

Step 3: Insert → Charts group → choose a type (Column, Line, Pie, Bar, Area, Scatter, Other charts) and a sub-type (clustered, stacked, 100% stacked, 2-D, 3-D). The chart appears on the worksheet.

Step 4: refine with Chart Tools (shown when the chart is selected):

  • Design tab: Change Chart Type; Switch Row/Column (swap what is on the category axis and in the legend); Select Data (add, remove or edit series and ranges); Chart Layouts and Chart Styles; Move Chart (to another sheet or a new chart sheet).
  • Layout tab: add or remove chart title, axis titles, legend, data labels, data table, axes and gridlines.
  • Format tab: fill, outline, effects and text formatting of the selected element.

Step 5: resize and position by dragging the chart's handles; save the workbook.

Charts are linked to data. When the source values change, the chart updates automatically.

Keyboard shortcut. Selecting data and pressing F11 creates a default chart on a new chart sheet (Alt + F1 creates one on the same sheet).

Steps to Create a Chart in real life

The idea, met in an everyday situation. Answer the question in your own words, then compare with the model answer. The one-line hook is what to remember.

Switch Row/Column

Suppose a manager enters quarterly sales of three products with quarters as rows and products as columns, and inserts a clustered column chart. The chart groups bars by quarter, but she wants to compare how each product did across the four quarters.

What single command fixes this and what does it change?

Try it first, then show the solutionSolution
  1. Select the chart; Chart Tools → Design → Switch Row/Column.
  2. Products move to the category axis; quarters become the legend series.
  3. Each product now has four bars side by side, one per quarter.

Answer: Switch Row/Column swaps the category axis and the legend, so the bars are grouped by product with one bar per quarter, making each product's quarterly performance easy to compare.

Memory hook: Wrong grouping? Switch, don't retype.

Suppose you must show total sales of each quarter (not each product) in a pie chart from a table of 4 quarters × 3 products. Describe the steps. (4 marks)

    Hint

    Add a total column first.

    Answer

Add a Total column with =SUM(B2:D2) copied down for each quarter. Select the quarter names and the Total column (using Ctrl for non-adjacent ranges). Insert → Pie → choose a sub-type. Add a title and data labels showing percentages.

  8. Q8 · 3 marks · Short answerHOTS / competency

    A chart's legend shows 'Series1, Series2, Series3' and the axis shows 1, 2, 3, 4 instead of quarter names. Diagnose and fix. (3 marks)

    Hint

    Headings were not selected.

    Answer

The headings were left out of the selection, so Excel used default names. Fix with Design → Select Data: edit each series name to the product heading cell and edit the horizontal axis labels to the quarter names (or recreate the chart selecting headings).
