Users of Accounting Information Class 11: Internal and External Users and Their Needs

Updated 17 October 2026 · Fact-checked

Users of accounting information are the persons and groups who use the financial statements to take decisions. Internal users (owners, managers, employees in decision roles) need detailed, timely data to plan and control; external users (investors, lenders, suppliers, customers, government, researchers and others) rely mainly on published statements, and each group looks for a different answer from the same figures.

Notice that every user reads the same financial statements but looks for a different answer: plan, return, repayment or payment.

Illustration drawn for QuestionBuddy.

Understand Users of Accounting Information and Their Needs

Why users matter. Accounting is an information system. The test of its usefulness is whether somebody can take a better decision because of it, so every question on this topic asks: who is the user, and what exactly do they want to find out?

Internal users work inside the entity. The owners and the management ask for cost sheets, product-wise profit, cash position and budgets, in detail and quickly, to plan, control and decide. Employees who take decisions inside the firm belong here too.

External users stand outside and see only what is reported.

  • Investors and prospective investors: risk and return; is profit steady, will dividends or growth follow?
  • Lenders (banks, financial institutions): ability to pay interest and repay the loan on the due date.
  • Suppliers and creditors: will the firm pay for goods bought on credit, and will it survive to place the next order?
  • Customers: will the firm continue to supply goods, spares and after-sales service?
  • Employees and their unions: capacity to pay wages, bonus and keep jobs safe.
  • Government and regulators: tax payable, compliance with laws, statistics for planning.
  • Researchers, social and environmental groups, competitors: performance, social effect, comparison.

Method to answer a case. (1) Underline the action the person wants to take (lend, invest, supply on credit, demand a bonus). (2) Match it to the question behind that action: repayment, return, payment, continuity. (3) Name the user and, if asked, the statement or figure that answers it (balance sheet for solvency, profit and loss account for earning power).

A common trap. A single document can serve many users, and the group depends on the person's role in the situation, not the job title. The owner of a sole proprietorship, or the partners of a firm, are internal users because they own the business and can ask for its books, even if they leave day-to-day work to a manager. A minority shareholder of a large company who does not manage is external, while a director of that company who takes part in policy decisions is internal.

Users of Accounting Information and Their Needs in real life

The idea, met in an everyday situation. Answer the question in your own words, then compare with the model answer. The one-line hook is what to remember.

Reading the same balance sheet in different ways

Suppose a small textile unit publishes a balance sheet showing a bank loan of ₹8,00,000 due in two years and cash of ₹50,000. A banker, a cloth supplier and a worker leader all read it.

What does each of the three look for?

Try it first, then show the solutionSolution

  2. Cloth supplier: whether the unit will pay for cloth bought on credit, so current liabilities against cash and debtors.
  3. Worker leader: whether the unit is stable enough to give the bonus and keep jobs.

Answer: Banker: repayment; supplier: prompt payment; worker leader: stability for bonus and jobs. Same figures, three questions.

Memory hook: One statement, many readers, many questions.

Where students lose marks in Users of Accounting Information and Their Needs

The slips examiners see most often, and what to write instead.

  • Mistake: Calling the lender an internal user

Thinking anyone connected with the firm is internal.

    Wrong working

    Bank: internal user.

    Right working

Bank: external user, interested in repayment.

Do this: Ask: does this person manage or take decisions inside the firm?

    Usually costs: 1 mark

  • Mistake: Giving a vague need

Writing "financial information" for every user.

    Wrong working

    Supplier needs financial information.

    Right working

Supplier needs to know whether the firm can pay on the due date.

Do this: Name the exact question behind the action.

    Usually costs: 1 mark

  • Mistake: Merging users in a multi-user case

Writing one common need for all.

    Wrong working

    All want to know profit.

    Right working

Bank: repayment; union: bonus capacity; supplier: payment.

Do this: One line per user.

Usually costs: 1 to 2 marks

Exam tips

  • In "name the user" cases, write the user and the need in the same sentence.
  • For 4-mark questions give at least two internal and two external examples if asked for a distinction.
  • Do not list "customers" as wanting profit; they want continued supply and service.
  • Link a need to a statement (balance sheet for solvency, profit and loss account for earning power) to earn the extra half mark.

  5. Q5 · 4 marks · Short answerHOTS / competency

Meera sold 60% of her proprietorship to Kabir. The firm is now a partnership in which she holds 40%, and she has stopped managing it, but she still receives the annual accounts. Is Meera an internal or external user now? Justify, and contrast her with a minority shareholder of a large company who takes no part in management. (4 marks)

    Hint

Owners of a proprietorship or partnership are internal users.

    Answer

Meera is still an internal user. She remains an owner (a 40% partner) of the firm, and owners of a proprietorship or partnership are internal users with a right to see the books and take part in decisions. Kabir, who manages, is also internal. A minority shareholder of a large company who does not manage is different: he depends on published statements and is an external investor.
